Purchasing

A goal of the County Commission Office is to provide support and guidance to the various offices and departments that utilizes funds under the responsibility of the County Commission with the purchase of goods and services necessary to perform the mission of their respective office or department.  The Commission Office is interested in each office and department ensuring the proper quantity, quality, and price are obtained in the purchasing process.

 Basic office supplies are purchased by the Commission Office and are distributed through a central supplies office.  Other purchasing not required to be bid is initiated by the request of an office or department through obtaining informal quotes from vendors then obtaining a purchase order from the Commission Office after review of the request.  Vendors and suppliers SHOULD NOT honor any order from LeeCounty without a purchase order issued by the County Commission Office.

 All purchases that will exceed $15,000.00 individually or in the aggregate during an October through September fiscal year are to go through a formal bid process.  Notices of such bids are placed on the bulletin board near the front entrance of the courthouse and bid invitations are sent to all vendors on the bid list for the particular good or service.

 Public Works Contracts are based on a project by project approach.  Public Works contracts must be bid when the project is $50,000 and above.  These bids are advertised once a week for three consecutive weeks in a newspaper of general circulation in the county.  A notice is also placed on the bulletin board near the front entrance of the courthouse and bid invitations are sent to all vendors on the bid list for the particular type of project.  If a Public Works contract is expected to exceed $500,000, in addition to the previous steps, the project will be advertised once a week for three consecutive weeks in three newspapers of general circulation in the state.
